Why are groups needed?
In the application, all tasks are linked to groups. To assign tasks to your colleagues or friends, you must be in the same group. When selecting a performer in the calendar, pay attention to the group name listed after their full name.
What is the maximum number of groups a user can have?
A user can be a member of an unlimited number of groups but can be an administrator of no more than 5 groups.
How many participants can be in a group?
A group can have up to 100 participants. The administrator manages the participant limit in the “Group Plans” section.
Groups of up to 2 participants are free. For more, a monthly subscription for 5, 20 or 100 participants is required. The subscription is linked to the administrator and applies to all groups where they hold this role. For example, with a subscription for 20 participants, the administrator raises the limit to 20 participants in all their groups.
A single user can be an administrator in no more than five groups.
Do I need to purchase a separate subscription for each group?
No, the subscription is linked to the user. By subscribing to a plan for one group, the user applies it to all five groups where they are the administrator.
What is the difference between a reminder and a request, task or checklist?
A reminder is a scheduled occurrence with a specific time: it appears in the calendar and in the list of reminders/tasks, but it does not require you to perform any action (although you may attend or participate).
A request, task or checklist, on the other hand, is an action that needs to be completed by a deadline (or without a strict deadline), and its aim is completion. Once you complete the task, its name appears crossed out in the list.
What is the difference between clients requests, tasks, and checklists?
In the CosaNostra app, these three types are combined into one universal entity.
If you create a client request, use:
Title and description — to describe the request and include the client’s contact details.
Calendar — to set the date and time for completing the request or one of its stages.
Subtasks / stages — to break the request into sequential steps.
Comments and history — to exchange information with colleagues involved in the request and track its progress.
What tasks-checklists are most commonly assigned in the app?
The most popular tasks assigned in the app include cleaning of premises and territories, one-time repairs, scheduled equipment maintenance, checklists for opening and closing restaurants, beauty salons, clinics, and fitness clubs.
What should you do if a request, task or checklist must be performed by different employees at different times according to their work schedule?
When creating a request, task or checklist, select all employees who can perform it, and if it isn’t one-time, set the repetition period. If you use the “Work Shifts” section, then employees will see the task in their calendar and task list only on the days of their work shifts. If the employees have no shifts defined or their shifts don’t match the task period, all assigned employees will see the task in their calendar and task list. Any of the assigned employees may complete the task either during their shift or outside of it.
Can one of the performers finish another performer’s assignment?
Yes, any performer in the task can complete another performer’s assignment! Additionally, the group’s admin can complete another performer’s assignment as well.
Can an employee who is not involved in a request-task-checklists complete another performer’s assignment?
A group administrator has the right to complete tasks assigned to other performers.
A regular employee who is not part of the task cannot complete it.
Can an assignee decline a task?
Yes. An assignee can decline the whole task or just one of its recurrences. Declining the whole task removes them from the list of assignees — if every assignee declines, the task's author becomes the assignee, so the task is never left without one. Declining a single recurrence keeps the person on the task but frees them from that one occurrence.
Can I copy a task?
Yes. A task can be copied, and every field carries over to the new task except the comments and the activity history. It saves re-creating a similar job from scratch.
What is the principle behind the app suggesting repeat periods for a request-task-checklists?
The app offers different repeat-options depending on the task’s duration:
For tasks lasting more than one year → no repeat is offered.
For tasks lasting more than one month but less than one year → Every Year is offered.
For tasks lasting more than one week but less than one month → Every Year and Every Month are offered.
For tasks lasting more than one day but less than one week → Every Year, Every Month, Every Week are offered.
For tasks lasting exactly one day → Every Year, Every Month, Every Week, plus the choice of specific weekdays (Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, Sunday).
For tasks lasting less than one day → Every Year, Every Month, Every Week, plus specific weekdays, and additionally a repeat every n hours within a chosen time-interval.
Can you change the assignee(s) for just one occurrence of a recurring request-task-checklists?
No — you cannot. If you replace the assignee for the current recurrence, that change will apply to all future recurrences of the task.
How to assign a task to employees with a shift schedule (2/2, 5/2, 3/2, 3/3, 2/1)?
Specify all employees who can perform the task, choose the appropriate repetition type, and then, in the Work Shifts section, assign employees according to their work schedules (2/2, 5/2, 3/2, 3/3, 2/1).
How to assign a task to employees with a complex shift schedule repeating every two weeks?
To assign a task to employees with a complex schedule repeating every two weeks, add all employees who can perform the task, set the repetition period to every week, and then, in the Work Shifts section, assign employees to shifts according to their two-week schedule.
Example:
In a factory, there are two engineers, John and Bob, working from Monday to Friday.
• Monday, Tuesday, and Wednesday: John
• Thursday and Friday: Bob
• Next week, Monday and Tuesday: Bob
• Wednesday, Thursday, and Friday: John
This two-week rotation repeats continuously.
To set up this schedule in the app:
Add both engineers (John and Bob) as performers for the task.
Set the repetition period to every week.
In the Work Shifts section, assign each engineer to their specific working days according to the two-week pattern:
Week 1: John — Monday to Wednesday; Bob — Thursday and Friday.
Week 2: Bob — Monday and Tuesday; John — Wednesday to Friday.
The system will automatically display the task to John and Bob only on their assigned working days.
What if completing a task requires several sequential actions, for example, for opening a restaurant, the manager needs to complete multiple checklist items?
For this, the task allows adding up to ten subtasks.
How do I filter the list?
Use the three controls at the top of the screen:
• On the left — filter by author and assignee, for example only your own items (“Me”) or a colleague’s.
• In the center — show completed or not completed items.
• On the right — switch between the calendar and the list.
Why are the names of Reminders and Requests-Tasks-Checklists shown in red?
Red text means the item is overdue.
What does a crossed-out Reminders, Requests-Tasks-Checklists name mean?
It means the Reminders or Requests-Tasks-Checklists has been completed.
Why do some rows in the list have an orange or grey background?
• Orange — reminders. They don’t need to be completed: they simply occur and cannot become overdue.
• Light blue — shifts.
• Yellow — shifts that fall on an approved vacation.
• White — requests, tasks and checklists with a deadline. They must be completed, otherwise they become overdue.
• Grey — tasks without a deadline.
• Darker grey — recurring tasks whose next occurrence is not due yet, so it is too early to complete it.
What does a circle with numbers like 0/2 next to a task mean?
It shows the task’s subtasks or stages: how many are completed out of the total. For example, 0/5 means none of the five subtasks is done yet.
What do the megaphone icon and the number next to it mean?
In a reminder, task or shift row, the megaphone with a number shows how many assignees have not yet viewed its latest changes or a new comment.
The megaphone in the top bar shows the total number of reminders, tasks and shifts with changes or comments that assignees have not yet viewed.
What does the number on an assignee’s avatar mean?
It shows how many more assignees the task has besides the person shown. For example, “2” means two more people are assigned to the task.
What is an activity in Requests-Tasks-Checklists and Shifts history?
An activity is an action recorded in the task history, such as completing a task, canceling its completion, or the task becoming overdue.
Each activity appears as a line with the avatar of the user who performed the action.
In what order are activity and comments displayed in a Requests, Reminders, Tasks, Checklists and Shifts?
Activity and comments are shown in chronological order: new ones at the top, older ones at the bottom.
Can comments be added both when completing or canceling a task and independently of these actions?
Yes, this is possible.
Can I ask AI a question in the comments of a task?
Yes. Write the word AI in a comment — each interface language also has its own word for it, such as ИИ in Russian or IA in Spanish — and the assistant joins that thread, answering like one of the participants, with the reply visible to everyone on the task. You can ask for advice, ask it to look something up on the internet, ask about the app, or ask about the tasks of the group this task belongs to.
Can tasks be assigned without photos?
Yes. For tasks without a visual result — meetings, calls, orders, stocktaking in a warehouse and so on — simply don’t turn on AI photo verification.
How does it work?
For tasks with a visible result, you can turn on AI verification in each subtask. After the work is done, the performer takes a photo, and the AI checks it against the subtask title and, if there is one, the reference photo:
• The title says to follow the reference (for example, “arrange 5 types of products as in the photo”) — the AI compares the completion photo with the reference.
• The title says to fix what the reference shows — a breakdown, dirt or clutter — the AI checks that it has been fixed.
• There is no reference photo — the AI checks the completion photo against the work described in the subtask title.
The AI estimates the completion percentage. By default, a subtask counts as done at 80% or more; you can change this threshold in each subtask.
Examples:
• Room cleaning: the reference shows a room cluttered with boxes, and the subtask says “remove all boxes and unnecessary items”. The AI checks that the room has been cleared.
• Store display: the reference shows the right layout, and the subtask says “arrange 5 types of products as in the photo”. The AI compares the shelf with the reference.
• Corridor: there is no reference, and the subtask says “remove the boxes blocking the corridor”. The AI checks the photo for a clear passage.
What languages can be used to create tasks?
Tasks can be created in more than 100 languages.
How to properly formulate task and subtask titles?
The task title should reflect the main objective, while the subtasks should contain specific details related to the attached photos.
It’s important to keep in mind that AI cannot fully replace a human and requires proper training and clearly structured input.
What if the AI mistakenly accepts a task that was performed improperly?
In such cases, you can cancel the task completion and provide a reason. This feedback will be taken into account by the system for future AI training.
Example: In the task “Clean the room,” the performer left a box near the window. The cancellation reason should be: “a box was left near the window.”
What if it’s not possible to photograph the final result when creating a task?
Let’s take an example from the construction field — such as installing a door.
In this case, it’s enough to take a photo of the current state of the object (e.g., an empty doorway) and set the task as “install a door in the opening,” enabling the AI verification feature.
After completion, the performer will upload a photo, and the system will compare the result with the initial state.
Can the performer use an old photo from the media library and deceive the app?
No, the app does not allow attaching photos from the media library!
Can a merchandiser, for example, take a photo of a similar shelf with products in another store and complete the task of arranging products on the shelf?
No. If the task includes the function of verifying the geolocation of the photos, the performer will need to take the photo exactly in the location where the original photo was taken. This means that the merchandiser will not be able to use a photo of a similar shelf from another store to complete the task of arranging products on the shelf.
What are bonus points awarded for in a task?
Bonus points are awarded for completing a task on time. Overdue tasks earn no points.
There are three ways to distribute the bonus:
• split equally among all participants of the task;
• only to the person who completed the task (if the task has several subtasks — to the one who completed the last subtask);
• the full bonus to each participant of the task.
For what period is the balance displayed?
By default, the balance is displayed for the current month. However, the filter allows you to select any time period.
Who can view the group report?
Only group administrators can view the report.
